Saudi e-invoicing (ZATCA), VAT return and Zakat

Connect a company to ZATCA's FATOORA platform, issue tax invoices, credit and debit notes as e-invoices, prepare the VAT return and estimate Zakat.

Dynamo Finance issues Saudi e-invoices that follow ZATCA's e-invoicing rules (FATOORA): every submitted sales invoice, credit note and debit note of an enabled company gets a unique ID, a counter, the hash of the previous document and a QR code, and in phase 2 it is cleared or reported by ZATCA automatically.

Set it up (Finance → Saudi tax compliance → ZATCA e-invoicing setup)

  1. Company details – the legal name (Arabic and English), VAT number (15 digits starting and ending with 3), commercial registration and the Saudi national address (building number, street, district, city, postal code).
  2. EGS unit – Dynamo registers itself as the company's e-invoice generation solution: the stamping key is created on the server and never leaves it.
  3. One-time password – generate an OTP on the FATOORA portal (يفتح في نافذة جديدة) (Onboard new solution unit). It is valid for one hour. In the Sandbox environment ZATCA's developer portal accepts its published test OTP.
  4. Compliance checks – Dynamo sends ZATCA the sample documents it asks for (tax invoice, credit note and debit note, standard and/or simplified). All must pass.
  5. Production certificate – one click; the unit becomes Active.
  6. Go live – enable e-invoicing. Optionally make KSA Tax Invoice (Arabic + English, with the QR code) the default print format.

Use Sandbox to try everything with test data. Simulation and Production need the company's real OTP from FATOORA.

Standard (B2B) or simplified (B2C) is decided automatically: standard when the customer has a Saudi VAT number or a buyer ID, or is abroad. You can override it on an invoice.

What happens when you submit

  • Standard invoices go to ZATCA for clearance. Until ZATCA clears them they are not valid tax invoices – the form and the print show it. The cleared XML and ZATCA's QR code are kept.
  • Simplified invoices are stamped by Dynamo, carry their QR code at once, and are reported to ZATCA in the background (ZATCA allows 24 hours).
  • If ZATCA cannot be reached, the document stays Pending and is retried automatically; nothing is dropped. Administrators are notified of rejections and of simplified invoices not reported after 12 hours.
  • The status, the counter, the hash, the XML and ZATCA's messages are in E-invoices (ZATCA).

Printing without ZATCA

The KSA Tax Invoice print shows the e-invoice in full: QR code, ZATCA status and identifiers. For an internal copy or a customer copy without them, use ZATCA → Print without ZATCA or PDF without ZATCA on the invoice, or choose the print format Sales Invoice without ZATCA in the print view or when e-mailing. It works for credit and debit notes too. The copy keeps the same bilingual layout, lines, VAT and totals; the e-invoice itself does not change.

Corrections

An e-invoice cannot be cancelled or deleted. Issue a credit note (Create → Return / Credit Note, or ZATCA → Issue credit note) or a debit note, and give the reason ZATCA requires. Only a standard invoice that ZATCA rejected (and which therefore never became a tax invoice) can be cancelled and re-issued. Before submitting, Dynamo checks ZATCA's rules and lists what to fix, so rejections are rare.

VAT return

Finance → VAT return fills the boxes of ZATCA's VAT return form (standard rated sales, sales the government bears the VAT on, zero rated, exports, exempt, purchases, imports, totals and net VAT) for a period, with every invoice behind each box. Credit notes for earlier periods go to the Adjustment column. Enter corrections of earlier periods (box 14) and credit carried forward (box 15), then file on ZATCA's portal by the end of the month after the period.

Zakat

Classify your accounts once in Zakat settings (Suggest from chart of accounts gives a starting point), then run Zakat base estimate for a fiscal year. It applies the 2024 Zakat regulations (additions, deductions, minimum and maximum base, 2.5% for a Hijri year or 2.5% / 354 per day for a Gregorian year). It is an estimate to prepare your return on ZATCA's portal – not a filing and not tax advice.

Records

E-invoices, their XML and ZATCA's answers are kept as tax records and cannot be deleted. Saudi rules require keeping invoices and records at least 6 years (longer for capital assets) and Zakat records 10 years.
